Position Purpose

Responsible for coordinating workforce schedules and providing administrative support for fabrication and field operations. This role serves as the primary administrator of the company scheduling system, maintaining workforce assignments, coordinating schedule changes, managing vacation and travel schedules, and supporting manpower forecasting activities. 

Working closely with Field Operations Managers, Shop Superintendents, Project Managers, Foremen, Human Resources, and Payroll, the Operations Coordinator helps ensure labor resources are effectively scheduled and communicated to support operational and project objectives.

Position Responsibilities

  • Administer and maintain the company scheduling platform, including workforce assignments, schedule updates, and labor availability.
  • Build and maintain shop and field workforce schedules based on direction from Field Operations Managers and Shop Superintendents.
  • Coordinate schedule changes and communicate updates to affected stakeholders in a timely manner.
  • Manage employee vacation schedules, planned absences, travel coordination, and other resource constraints.
  • Support short-term and long-range manpower forecasting activities for fabrication and field operations.
  • Coordinate staffing requirements associated with large projects, service work, emergency work, and other unplanned operational needs.
  • Maintain an understanding of applicable union labor agreements, workforce availability, and trade-specific staffing practices to support scheduling activities.
  • Collaborate with Project Managers, Foremen, HR, Payroll, and operations leadership to ensure accurate workforce information.
  • Prepare and distribute workforce planning reports, labor schedules, and operational communications.
  • Support the development, maintenance, and monitoring of operational metrics, dashboards, and reporting tools.
  • Coordinate department meetings, prepare agendas, document meeting minutes, and track follow-up actions.
  • Assist with team communications, events, outings, and other department administrative activities.
  • Maintain organized records and documentation to support operational effectiveness.
  • Support and maintain a safe and Lean work environment.
  • Other duties as assigned.

Summary of Skills, Knowledge and Abilities

  • High school diploma or equivalent required; post-secondary education in Business, Administration, Project Management, or a related field preferred. 
  • Previous experience supporting construction, service, manufacturing, fabrication, project coordination, or workforce scheduling activities preferred. 
  • Proficient in Microsoft Office applications, including Excel, Outlook, Word, and Teams. 
  • Strong organizational, interpersonal, and written/verbal communication skills. 
  • Demonstrated ability to prioritize workload, manage multiple responsibilities, and meet deadlines in a fast-paced environment. 
  • Ability to quickly learn new software applications, systems, and operational processes. 
  • Detail-oriented with a high level of professionalism, accuracy, and customer service.

Direct Reports                                                                       

  • None; This position reports directly to the applicable Field Operations Manager and maintains a dotted-line working relationship with the assigned Shop Superintendent.
